Student Employment Program

The Student Employment Program (SEP) at the University of Sharjah, administered by the Career Advancement and Student Training Office (CASTO), provides enrolled students with valuable opportunities to work part-time on campus. SEP not only meets the operational needs of the university but also serves as a platform to develop a skilled and dedicated workforce from within the student body.

SEP offers a wide array of part-time positions across various departments and offices on campus. Students are involved in diverse roles, such as assisting in the Admission and Registration Departments, serving as Lab Assistants in dormitory labs, participating in organizing committees for conferences, workshops, and ceremonies, and contributing to projects and initiatives.

SEP not only benefits the students but also contributes to the overall university community by providing a reliable and committed workforce. Through SEP, students become valuable assets to the university, ready to assist and contribute whenever called upon.

Students:

    Eligibility

  • Students must be enrolled throughout the entire duration of the SEP.
  • Students must have a minimum GPA of 2.5. However, exceptions are given to a GPA of 2.00 as well.
  • Students must complete at least one semester (a minimum of 15 credit hours).
  • Policies

  • SEP payment ranges from between AED 20/- to AED 25/- per hour, unless stated otherwise.
  • Working hours per day shall not exceed 8 hours/day.
  • Workdays are from Mondays to Thursdays, unless stated otherwise.
  • Work week shall be 4 days/week only.
  • Working hours in a month shall not exceed 152 hours/month.
  • Working remotely or virtually is not allowed, unless stated otherwise.
  • Students are not permitted to work until the budget approval is received.
  • Students' timesheets received after the fiscal year will not be entertained.
  • Students are not permitted to work in two SEP placements at one given time.
  • Students are not permitted to work in any other part/full time job at University premises.
  • Students are not permitted to work during final exams, weekends, or official public holidays, unless stated otherwise.
  • Students are not permitted to consider their SEP as an internship at the University.
  • Students who have cleared their documents with UoS are not permitted to work under SEP.
  • Students who finished the graduation requirements and did not obtain their certificate are allowed to work for no more than 12 months.
  • Students are required to adhere to and monitor the HR Policies & Procedures during any pandemic or emergency.

Student Application Process

Students wishing to apply for one of the vacancies announced should follow the procedures below:

  1. Click on the "Part-time Job Opportunities" at the end of this page to browse the available opportunities and click on "View Details" for more information.
  2. Click on the "Apply Now" button and fill out the application form.
  3. Check to make sure that the information entered is correct and then click "Submit".

Note: If a response is not received within two weeks of the announcement expiry, this means that the vacancy has been filled.

Acceptance Process

CASTO is responsible for finalizing the acceptance process through the following:

  1. Receives the submitted application.
  2. Screens the applications to make sure that they meet the criteria/eligibility for student employment as stated in the policy.
  3. Sends applications to the departments/units to complete the selection process by interviewing shortlisted students and selecting the appropriate candidates.
  4. Forwards a confirmation email to the selected candidates along with the Timesheet Form & Liability Form and request for the IBAN details to proceed with payment.

Note: Part-timers shall receive their stipend from the Finance Department.

Employers

Employer Announcement Process

Departments/units wishing to employ students must register available vacancies with CASTO by following the below procedures:

  1. Making sure there are sufficient funds in the department’s/unit’s budget to cover the position to be announced.
  2. Filling out the Student Employment Form (V-Form).
  3. Indicate any exception or recommended student along with his/her ID in the comment box.
  4. Send a signed V-form to CASTO.

CASTO will raise the vacancy by following the below procedures:

  1. Receiving the Finance Department’s approval on reserving the allocated budget.
  2. Announces vacancy on the SEP portal and send the announcement to the students.

Employment Process

CASTO is responsible for finalizing the acceptance process through the following:

  1. Receives the submitted applications.
  2. Screens the applications to make sure that they meet the criteria/eligibility as stated in the policy/V-form.
  3. Sends applications to the departments/units to select the appropriate candidate.
  4. Forwards a confirmation email to the selected candidate along with the Timesheet Form & Liability Form and request for the IBAN details to proceed with payment.

Payment Process

CASTO is responsible for processing the payment of the student through the following:

  1. At the end of every month, the timesheet shall be forwarded to CASTO and signed by the Student, Direct Supervisor, and Budget Owner.
  2. CASTO revises the timesheets along with the approved budget.
  3. CASTO forwards the timesheets to the Finance Department for payment process.

Note: Part-timers shall receive his/her payment from the Finance Department.
