Department Overview:

Welcome to the University Asset Management Section. Our department handles managing the physical assets of the university, which includes land, buildings, equipment, and other tangible assets. The Asset Management Section is part of the VC for Financial and Administrative Affairs' Office at the University of Sharjah. It is considered as one of the vital and essential service units that support the University's Asset related operations such as Asset Acquisition, Asset Addition, Asset Transfer, Asset Inventory, Asset Disposal.

The Asset Management Section (AMS) was established in 2012 with the aim of managing all the assets of the University of Sharjah. The types of assets included in the Asset Management System are furniture and fixtures, lab equipment, medical equipment, dental equipment, sports equipment, gym equipment, home appliances, land, library books, and motor vehicles. The responsibilities of the Asset Management Section include managing all the assets of the University of Sharjah, such as asset addition, asset transfer, employee asset clearance, and asset disposal.

Our mission is to ensure the efficient and effective management of the university's fixed assets, in order to support the academic and administrative needs of the institution. We aim to provide accurate and timely information about the location, condition, and value of our assets, as well as to ensure compliance with relevant laws and regulations.

Additionally, we provide guidance and support to other departments within the university, helping them to manage their own fixed assets in accordance with university policies and procedures.

Fixed Asset Unit Roles and Responsibilities include:

  • Receiving new assets in the Asset Management Section store as per Local Purchase Order details.
  • Ensuring assets received in the Asset Management Section store are in good condition and that there is no damage to the goods.
  • Obtaining technical approval for required assets from the concern department, if needed.
  • Ensuring all assets are tagged and identified with RFID tags.
  • Ensuring asset-related information in AMS is updated.
  • Ensuring delivery of assets to end-users without any damage.
  • Documenting assets in Banner with their complete details.
  • Maintaining the Fixed Asset Register and keeping it updated.
  • Providing financial data to the Finance department.
  • At month end, conducting asset reconciliation with the General Ledger to find any discrepancies in asset capitalization.
  • Generating asset reports upon request from various departments or colleges.
  • Stocktaking and physically counting of all the assets in the University of Sharjah’s main campus and its branches once every two years.
  • Providing asset warranty details as required.
  • Moving or transferring assets either from one employee to another or from the Asset Management Section store in the main campus to the branches.
  • Preparing reports for staff clearance.
  • Preparing reports for the disposal of assets with complete details and reasons.
  • Evaluating the lifetime and value of each asset before disposal.
  • Administering all relevant policies and related procedures.
  • Tagging and recording capital asset additions, transfers, and disposals.
  • Coordinating asset audits and physical verifications.
  • Accounting for fixed assets correctly, including the receipt of Local Purchase Orders (LPOs).
  • Receiving, shifting, and temporarily storing fixed assets.
  • Maintaining records of all relevant request forms, reports, and approvals.
